CREATOR (you@web Content Manager)

 Are the individual components of the website administrated in a file system or in a database? If database, is it a system-owned database or can also other database systems be used? The you@web Content Manager was developed particularly for Lotus Domino/Notes. For this reason all components of the website, like contents, layout, navigation, or other files, are administered in Lotus Domino/Notes. Additionally, contents can also be stored in relational databases (SQL server, Oracle), and are then integrated into you@web via interfaces (e.g. DECS or LEI). Is there an integrated media database for pictures, among others? Yes. you@web contains media databases for the central administration of files. Extensive management functions such as workflow, multilingualism, archiving, access rights, etc. are all available here. By means of the Link Wizard and/or the link insert function you can put links on any media resources. The number of media databases is not limited.
Additionally, objects such as image files or hyperlinks (e.g. for the web design) are managed centrally and separately from the content in a so-called Repository. In both cases the result is that this information will be maintained in only one place and can then be used on the Internet and/or Intranets simultaneously. Authors’ access to central resources can be personalized. Which attributes (for example, version, authorisation, publication and expiry date, META information) can be assigned to individual components or sites? For each page (content document) a multiplicity of complementary data is stored together with the respective document, controlling the performance or the appearance, as well as classifing the content textually. The most important ones are:
· date of expiration and publication (combinable with automatic archiving)
· author
· access rights (readers)
· visibility in sitemap, navigation, or search engines
· source of content (link)
· workflow etc.
By means of templates you can further define customized meta data to be used, e.g. for the creation of views on the content (e.g. index). To which extent are templates used? Three different kinds of templates are used in the you@web Content Manager:
· Input templates enable a comfortable input by the content author.
· Output templates control the representation of the contents on the website.
· For each Content Type an individual print layout (print template) can be defined.
The print version of a content can be displayed in a new window (without frames) and optionally printed automatically (direct display of the print dialogue). When printing, the user can adjust individual style properties, e.g. no background image when printing, or another color.
It is possible to create separate input forms for web and Notes frontends. Contents and layout are therefore completely separated. Input and output templates can be configured and combined at will. This results in the possibility to publish content entered into an input template in different layouts (e.g. Intranet/Internet). Templates are administered centrally in the Repository. They are freely definable and adjustable by the administrator. Furthermore, templates are used for navigation and sitemaps. The product is delivered including basic templates.
The architecture of the you@web Content Manager, with its separation of layout and content into different databases, is still consequently supported. A central integration of templates for simultaneously importing subforms for print, input, and output into all connected content databases is provided. Is there an integrated search function for the website? Yes. With the you@web Content Manager a special version of the you@web Knowlegde Di-rector is delivered. This tool enables efficient searching through the content. As opposed to conventional search functions in Lotus Domino/Notes, contents and layout of the search results can be flexibly defined. For example, the search is executed only on a content which is approved in the workflow, has the same language as the query, is not hidden, or is located within the actual content.
Descriptive information like the names of author or approver can thus be excluded. In practice the search result becomes substantially more meaningful by the use of the Knowledge Director. Is there the possibility to automatically generate sitemaps and index sites? Yes. The sitemap is dynamically generated for each language. The appearance of the sitemaps can be freely determined using templates. Is there an automatic link verification with a corresponding correction? Yes. The you@web Link Managment consists of three components:
· On the one hand references to internal and external sources of information, e.g. other websites, can be examined periodically with the aid of the Link Checker. In the case of a faulty or dead link-up, the author of the content will be informed.
· Furthermore, you@web includes an extensive Link Management that prevents a deletion of content being linked to. In this case the author is warned by the system.
· In you@web the site navigation is generated dynamically. Thereby the consistency of in-ternal links is ensured, in particular if the File and Link Repository are used. Can you define dynamic categories on websites, in which further relevant links are indicated? Yes. Here you have two options:
· re-usable content blocks (Building Blocks)
· dynamic content blocks (you@web Knowlegde Director)
So-called Building Blocks provide you with a possibility to integrate re-usable HTML code blocks (e.g. for recurring related topics as links). These offer the following characteristics:
· modular structure
· formula-based inserting of blocks
· decrease of complexity
Dynamic content can be provided in a particularly comfortable way by means of the you@web Knowlegde Director. Using this product, contents can be represented topic-oriented and sorted according to freely definable criteria. A special characteristic is that this is also possible even if the content has not been ascribed additional meta data. Is it possible to design a generally valid navigation, which is adapted to the context? Yes. In the you@web Content Manager the navigation is created dynamically from the logical structure of the content. The navigators can be adapted and configured. The navigation still supports multilingual content consistently. The navigators support the complete architecture of the you@web Content Manager with its strict separation of layout and content into different databases. A navigator can thus be applied also to other Content Bases apart from the current one. Furthermore, you may create as many navigators as you desire. With the aid of the Lotus Notes @-Formula language, frame based navigators can integrate more information content into the navigation. By means of formulas a document can be evaluated and the resulting information be used in the navigator. The formulas refer to the document currently opened.
Navigators are stored in the Repository. The integrated navigators are based on Javascript and XML. Other web technologies may also be used. Is there an integrated version backup? Yes. All content documents are automatically given a version number. The system differenti-ates between three document statuses - work in progress, published, and archived. Each document can exist in several languages and versions. Can a version backup be implemented through additional software? you@web is equipped with an efficient archiving mechanism. A further connection with additional software is possible. Content documents are given a version number Can earlier versions of the website or individual components be reestablished and if yes, to which extent? All versions of a content are administered in a Content Folder. These Folders also contain versions in different languages and archived ones. Archived contents can be re-released at any time, given they have passed the workflow again. By means of an agent an earlier version of the website can be restored automatically. Is there an integrated template editor? The you@web Form Builder is a product for the creation of simple feedback forms (web forms), without programming of subforms (e.g. for polls) and without developer know-how.
Templates for the use in web/Notes frontends. you@web is based on Lotus Domino/Notes. For this reason, additional templates (for input, output, and print) can be developed with the aid of the Lotus Domino Designer. Templates generated with the aid of the Form Builder are based exclusively on web technology, e.g. HTML. Therefore, with you@web a pixel accurate design of templates is possible. Templates are created and administered in the you@web Templates Database. By means of an agent the templates are imported into the Content Base and placed at the disposal of the editors. Through this import mechanism and the removal of the templates into the Templates DB, functional extensions to the you@web Content Manager can be effected without changing the source code or losing the update capability. In the version 6.3 all Domino design elements can be imported via the Templates DB.
Due to these features a still more extensive customizing of the you@web Content Manager can be achieved while retaining the update capability. Is there an object-oriented authoring? Yes. Editors can work on documents according to their userprofile. Can multilingual contents be administrated? Yes. Each content document can be stored in several languages. The language switching on the website is effected automatically. The you@web Content Manager can administer any number of language versions of web contents. The languages are defined in the Central Repository and are then available to the editors. The you@web Content Manager automatically provides language specific navigators and sitemaps. For each language an ISO character set can be specified. Thus also languages whose characters require a double byte coding (e.g. Chinese) are supported. Are multilingual clients available? Yes. Multilingualism is consistently realized. At present, the you@web Content Manager’s user frontend supports German, English, French, and Polish. Error messages for authors are displayed in different languages, depending upon the client language. Further languages may be made available upon request. With which techniques can an editor transfer contents to the system? The integration of content into the system differentiates between two cases:
· Input of content by the author (Notes client, browser).
· Use of existing content from you@web (Content Base, Media Base) or external sources (Content Base overlapping, third-party systems); this also includes the MS Office integra-tion.
Contents can be entered into you@web via the Lotus Notes client or using a web browser (optimized for MS Internet Explorer 5.x or higher). Existing content can be integrated using the "Insert Existing Content (external)" menu function from the current database and other external you@web Content Manager databases. Thus Content Base overlapping HTML links are made possible. Via a Content Link the selection of Knowledge Director queries or content from outside the system can also be transferred into the Content Manager. An import from third-party systems is also possible via XML. A "transmission", i.e. file upload or the like, is possible but not necessary. In principle contents can be transferred by cut & paste from other applications (e.g. MS Office). The import of existing HTML pages or the transfer of database contents is supported with import agents.
MS Office Integration:
The you@web Content Manager stands out with the following characteristics of a powerful MS Office integration:
· complete Office integration (Word, Exel, and PPT) as Content Editor via the browser in-terface (IE)
· usable without any programming
· deposition in a you@web content document
· automated conversion into HTML code
· use of the MS export filter
· continuous creation and editing in MS Office
· integration of existing MS Office documents by drag & drop from the Explorer
· Office documents can be edited and saved directly without manual check out
· content type dependent and can be personalized Which possibilities are there for editors to work on contents? With the Advanced Editor you@web offers a very high performance editor with Word-similar functions (formatting, tables, etc.), allowing editors the comfortable creation and changing of documents via the browser. Furthermore, the Advanced Editor also supports the architecture of you@web very well. It is, for example, also possible to insert images from the Central Re-pository into a document, or to put links very easily on existing contents. (For this, the editor selects the term on which the link is to be put and then selects the target document from a pull-down menu.)
For certain Content Types the Advanced Editor allows the definition of styles and CCS, and insofar exceeds the capabilities of the Notes RTF by far.
Of course it is also possible in the Advanced Editor to insert an object directly from a you@web Media Base.
Since not every author needs such comprehensive (Word-similar) editing options, the func-tions can also be reduced purposefully for groups of authors (depending on the Content Type), so that each author has an Editor adapted to his specific activities at his disposal.
