YMCA Retirement Fund Taps Vignette Integrated Document Management Solutions

Vignette Corp. today announced that the YMCA Retirement Fund has selected Vignette® Integrated Document Management solutions to automate its current paper-based systems, streamline pension processes and implement a secure disaster recovery plan. The New York-based YMCA Retirement Fund manages more than $3.5 billion in assets and provides financial services, education and retirement services to its 80,000 participants and retirees.

In an effort to drive organizational efficiency, the YMCA Retirement Fund will deploy the Vignette Integrated Document Management solution, formerly TOWER IDM, as a highly secure, robust content repository for all pension records, related correspondence and documentation. All incoming paperwork will be immediately scanned and routed to the appropriate department for action. Vignette Integrated Document Management will be tightly integrated with the YMCA Retirement Fund’s retirement management system to enable staff to instantly access current pension information. Automated workflow processes will help ensure that customer service inquiries are properly handled instantly. The YMCA Retirement Fund’s primary goals regarding the implementation of a document management system are to improve the efficiency of document sharing through the organization, reduce customer service response time and strengthen business continuity capabilities.

After a thorough RFP process and comprehensive evaluation of many solution providers, including in-depth conversations with references, the YMCA Retirement Fund selected Vignette based on its product usability, strength of service and support, and high security standards.

“Sept. 11, 2001, was a big wake-up call for us in terms of our business continuity strategy,” said Elliott Buchholz, chief technology officer at the YMCA Retirement Fund. “Our offices directly overlook ground zero. We realized that we could no longer think of ‘disaster recovery’ simply in terms of temporarily losing access to one of our floors.”

In addition to having all retirement records easily accessible to YMCA Retirement Fund employees, the organization has longer-term plans to deploy Vignette solutions to provide its members with Web access to some of their own documents, such as their annual statements and other benefit information.

Along with streamlining overall business processes and improving customer service, the new system will enable the Retirement Fund to meet membership growth without necessarily needing incremental staff. “Our participant count has been growing steadily,” Buchholz said. “Vignette Integrated Document Management will enable us to do our job more efficiently today and for the foreseeable future. This implementation directly supports one of our current strategic goals, which is to ‘apply cutting-edge technology to our business processes while controlling expenses.’”
